Who are your approved telephone service providers?

Smart City Networks, the leading provider of telecommunication and event technology services, expertly arranges turnkey services for show managers and exhibitors. Who are your approved electrical service providers?

All equipment, regardless of power source, must comply with federal, state, and local codes. The KBHCCD and your chosen provider from our approved list reserve the right to inspect equipment at the exhibitor’s expense. Electrical outlets must be ordered for each booth requiring power. Complementary electrical is available in the meeting rooms, but you must not exceed the electrical capacity in each room.

Is Internet access available?

Complimentary Wi-Fi service is available in the lobbies. For additional service, contact Smart City Networks at (214) 853-8119.

Is water service available?

Bottled water is placed inside the lectern, per the number of seats at the head table. Should your speakers’ water needs exceed what is provided, please consult your Event Manager. Water coolers are placed in the meeting room corridors and outside the A, B and D Ballrooms when ballrooms are used for meeting space. KBHCCD does not place water coolers in exhibit halls. Additional water service for attendees may be ordered through the KBHCCD food and beverage provider.

Do you allow food sampling in the facility?

Health permits may be required if show exhibitors sample food or beverages not provided by our exclusive food and beverage provider. KBHCCD will work with Show Management to secure those permit(s). Certain restrictions apply. For more information, contact your Event Manager.

What about beer, wine & liquor service?

In compliance with Texas Alcoholic Beverage Commission (TABC) laws, no alcohol may be brought onto or removed from the KBHCCD property except by our exclusive food and beverage provider, Sodexo Live!

Can we bring in food and beverages?

All outside food and beverages are prohibited.

Can you provide catering in-house?

What are your green initiatives?

KBHCCD is committed to supporting and encouraging sustainable practices. As one of only a handful of U.S. LEED-EB and ISO 14001-certified convention centers in the nation, our dedication to resource conservation, sustainability, source reduction, and waste diversion is standard operating procedure. The KBHCCD prides itself in hosting environmentally friendly meetings. Recycling is a big portion of being green and one of the easiest ways planners can get involved. It not only reduces costs for you, your attendees, and exhibitors but also reduces landfill space and energy used. After their event, planners may also consider donating unconsumed food and other consumer goods to our KBHCCD Good Neighbor Program, which diverts leftover items from landfills to local non-profits. Where can I advertise my event?

KBHCCD offers a variety of paid on-site advertising options for clients, their exhibitors, and sponsors. For more information, visit the Advertising & Sponsorship page. For more information, contact the KBHCCD Marketing Manager at least 90 days prior to your event.

What are Kay Bailey Hutchison Convention Center Dallas’ fire and life safety guidelines for trade shows, public events, and performances?

Some events may require special event permits for pyrotechnics, lasers, open flame, or other special effects. Additional standby fire personnel may be required during show hours at Lessee’s expense. See your Event Manager for these permit applications. If you have a particular question or concern, please contact the Security Supervisor at (214) 939-2872 or the Dallas Fire – Rescue Department at (214) 670-4319.

When is security required?

Lessee is responsible for hiring security personnel on a 24-hour basis from the initial move-in date/occupancy until completion of move-out. A list of preferred event security companies is available from your Event Manager. Event security at KBHCCD is provided by state-licensed, trained, insured, and bonded professionals and includes ushers, ticket takers, floor security agents, door security agents, roving personnel, overnight security, their supervisors and managers, and law enforcement agencies and first responders. All security personnel are required to enforce KBHCCD's policies.

Lessee will submit a detailed security plan a minimum of 30 days prior to the first move-in day of the event. The plan must indicate the number of security supervisors and security personnel, dates, times, and assigned locations. KBHCCD may request the Lessee make reasonable modifications to the plan

What are the deposit requirements?

A deposit of 25 percent (25%) of the minimum space rental amount is due at the time of contract execution, with the balance and certificate of insurance (COI) due 60 days before the event/show move-in date.

What are the building’s hours, and what are the extended hours?

Hours are based on show management and exhibitor hours. Generally, our KBHCCD administrative hours are Monday through Friday, 8 a.m. – 5 p.m.
